At Quickbase, Inc. ("Quickbase", "we" or "us"), we place the highest importance on respecting and protecting the privacy of individuals. Our most important asset is our relationship with you. We want you to feel comfortable and confident when using our website and our service. Therefore, we would like to share with you the following principles that govern our information practices and other privacy aspects of our website and our service when accessed through www.quickbase.com and any of its subdomains ("Website").
This Privacy Notice ("Privacy Notice" or "Notice") includes addendums that address privacy considerations for individuals located in or residing in various geographic areas and these may be updated from time to time. Please note that in some cases we are only acting in the role of a data processor (as defined under applicable law). This Privacy Notice does not apply to data or information input into our platform by our customers into their Quickbase applications, as our customers are considered the data controllers (as defined under applicable law) and are controlling the use of such information. Changes To This Privacy Notice
We will update this Privacy Notice when necessary to reflect customer feedback and changes in our services as well as applicable laws, rules and regulations. When we post changes to this Notice, we will revise the "last updated" date at the top of the Notice and post the updated Notice at https://www.quickbase.com/privacy. If there are material changes to the statement or in how Quickbase will use your personal information, we will notify you either by prominently posting a notice of such changes before they take effect or, if you have registered an account with us, by directly sending you a notification through the service. We encourage you to periodically review this Privacy Notice to learn how Quickbase is protecting your information. Using Quickbase websites or services after a notice of changes has been sent to you or published on our Website shall constitute consent to the changed terms and practices. Please note that if you choose to use our mobile application, we may request access to your precise geo-location information to automatically populate your current location in an address field on a Quickbase form. We may also request access to your camera reel and device storage to allow you to upload images, videos, or other files in a file attachment field on a Quickbase form. If you wish to change our access or permissions, you may do so in your device's settings.
How We Use Personal Information
We use the information you provide:
Providing Services; Transactional Communication with You. to (i) provide our Website and services to you and administer your use of our Website and services, (ii) to communicate with you and fulfill requests you may make, and (iii) to provide you with information and announcements with respect to our service. We need to use this information to provide our service and to meet our related contractual obligations to you.
Promotional Communications. to provide you with further information and offers from us or third parties that we believe you may find useful or interesting, including newsletters, marketing, or promotional materials sent via e-mail ("Informational Materials"). We rely on our legitimate interests to provide such information and offers to you, and you may request to opt out of these communications. If you are located in a jurisdiction where electronic marketing communications require your consent prior to us sending these communications to you, we will ask for your consent prior to sending such communications. If you decide at any time that you no longer wish to receive Informational Materials, please follow the "unsubscribe" instructions provided in any of the communications sent to you, or update your "account settings" information.
Customer Support. to communicate with you strictly about your service through email and text messages, messages sent within the application, and notices posted at our website or on your account and to provide you with customer support and other information on services and products (collectively, "Customer Service Messaging"). We need to provide Customer Service Messaging to you in order to meet our contractual obligations to you and you cannot opt-out of Customer Service Messaging.
Analytics, Evaluation & Improvement. We may also use your information to improve our Website, services, features and content, to customize your user experience, and to better understand your needs and interests. We use information we obtain by technical means (such as the automatic recording performed by our servers or through the use of cookies) for the above purposes as well as to monitor, measure and analyze use of the Website and our services, to generate and derive useful data and information concerning the interests, characteristics and website use behavior of our users, and to verify that visitors to the website meet the criteria required to process their requests. We may also use call recordings to review feedback and other information obtained from you. We rely on our legitimate interests to use this information to improve our service and your experience with us.
Personalization & Advertising. To tailor the content and information that we may send or display to you, to suggest personalized help and instructions, and to otherwise personalize your experience while visiting or using our Website. Additionally, we may collect your information and share it with our third-party service providers to understand how our Website is used and to improve the Website. Further, we may use your information to advertise Quickbase to you and to display those advertisements on other websites. The information collected may be associated with your personal information. Quality Assurance. In order to perform quality assurance and to continuously improve our customers' experience, to assist with fraud identification, and to assist our customer relationship representatives (for example, through representatives in our call center), we use tools to monitor and record certain user experience information, including, without limitation, audio of customer service calls and information resulting from such calls.
De-Identified and Aggregated Data. We may de-identify and/or aggregate personal information and aggregate other information, and use and disclose that aggregate and/or de-identified data for our business purposes, in each case to the extent permitted by applicable law. To the extent we create de-identified and/or aggregate personal information, we take reasonable measures designed to maintain such information in de-identified and/or aggregate form. Once de-identified or aggregated, we will not attempt to re-identify the data (other than to confirm our de-identification and aggregation processes worked).
Google User Data. We use Google user data that you authorize us to access solely to provide the Quickbase service functionality you have requested, such as importing, syncing, or displaying data within your Quickbase applications. Our use of Google user data received through Google APIs is limited to the purposes described in this Privacy Notice and complies with the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to serve advertisements, and we do not permit humans to read your Google user data unless (a) you have given us affirmative consent to view specific data, (b) it is necessary for security purposes (such as investigating a bug or abuse), (c) it is necessary to comply with applicable law, or (d) the data is aggregated and anonymized for internal operations.
Lawful Processes; Protection of Company. We may use and share information in accordance with and in response to regulatory authorities, courts with competent jurisdiction, valid law enforcement requests, governmental agency requests, emergency services, and other necessary third parties for legal, protection, security, and safety purposes (e.g., to comply with laws or regulations, to respond to subpoenas and legal processes, to perform credit checks, to protect the safety of our employees, agents, and customers, or any other person). We may use information and share it with third parties if we believe doing so is necessary or appropriate to protect our rights or the rights of others, including to enforce our agreements, policies, and terms, to bring legal action, to protect our operations and assets, or to pursue remedies or limit damages that we may sustain.
We may use sources outside of Quickbase to supplement the information you give us. For example, we may validate your address using other sources. We use this data to help us maintain accuracy and provide you with better service. If you are located in a jurisdiction where the applicable law so requires, we will provide you with further information regarding this practice.
How We Share Personal Information
Third Party Service Providers. We have limited relationships with third parties to help us in managing our relationship with you and to assist us in providing the Quickbase service to you, for example, by using a third-party data hosting service to ensure the data you upload to our platform remains secure. These service providers are contractually required to maintain the confidentiality of the information we provide them. The contracts outline the appropriate use and handling of your information and prohibit third parties from using any of your personal information for purposes unrelated to the product or service for which they've been contracted. Vendors are required to maintain the confidentiality and privacy of the information we provide to them. With respect to Google user data obtained through Google API Services, we share such data with third-party service providers only as necessary to provide or improve the Quickbase service, and such providers are prohibited from using Google user data for any other purpose.
Legal Disclosures. We may disclose or report personal information in limited circumstances where we believe in good faith that disclosure is required to comply with applicable laws, rules or regulations, to enforce or apply our Terms of Service, available at https://www.quickbase.com/terms-of-service and other agreements, or to protect the rights, property, or safety of Quickbase, users of our service, or others. For example, we may be required to disclose personal information to cooperate with regulators or law enforcement authorities, to comply with a legal process such as a court order, subpoena, search warrant, or a law enforcement request.
Business Partners. We have business partners that provide services, some of which are co-branded. Partner services and websites are clearly identified. When you request any of these products or services, you are permitting us to provide your personal information to the partner to fulfill your request. This Website may provide links to third-party websites, such as those of our business partners and online advertisers. Because Quickbase does not control the information policies or practices of these third parties, you should review their privacy policies to learn more about how they collect and use personal information.
Business Transfers. Should we sell, merge or transfer any part of our business, part of the sale may include your personal information and you agree that any such third party will have the right to continue to use your personal information and other information that you provide to us or which we obtain through your use of the service.
If you use an email address provided by your organization, such as your employer or school, to sign into the Quickbase service, the owner of the domain associated with your email address may: (i) control and administer your account and (ii) access and process data you share with Quickbase. If your organization is administering your use of the Quickbase Service, please direct your privacy inquiries to your administrator.

Cookies and Related Technologies. We use a variety of technologies on our Website. Among these are cookies, which are pieces of information that our Website provides to your browser. IP Address & Related User Data. When we track activity on our Website, we collect information such as your IP address, browser type and version, pages you view, and other ways you interact with our Website. We also keep track of how you got to our Website and any links you click on to leave our Website. Once you leave our Website, we do not track you. We use your Website activity to assist us in offering you a personalized Web experience, assist you with technical support and to tailor our offerings to you.
Web Beacons. We may access and set cookies using web beacons, also known as single-pixel GIFs which are invisible graphical images. These web beacons tell us useful information regarding our Website such as which pages users access. When we send you e-mails, we may include a single-pixel GIF to determine the number of people who open our e-mails. When you click on a link in an e-mail, we record this individual response to allow us to customize our offerings to you.
Social Media. Certain features of our Website allow you to initiate interactions between the Website and third party services or platforms, such as social networks ("Social Features"). Account Preferences
You may access, review, revise, correct, or delete the personal information provided in your registration or account profile by changing your preferences in "My Preferences." If you update any of your information, we may keep a copy of the information that you originally provided to us in our archives for uses documented in this Privacy Notice.
Analytics & Third-Party Platform Advertising
Analytics Tools & Providers. As noted above our Website uses third-party analytics tools (e.g., Google Analytics) to collect and process data about your use of our Website. Our analytics providers may set and read cookies to collect this data, and your web browser will automatically send data collected by those cookies to our analytics providers. Our analytics providers use this data to provide us with reports that we will use to improve our Website's structure and content. For example, we utilize Google Analytics and other analytical tools offered by Google to understand how visitors interact with our Website. These tools may collect information such as your browser type, pages visited, and time spent on the site. Advertising networks, Personalized Advertising, Remarketing & Retargeting. We may use or participate in advertising networks and related advertising services that are managed and provided by third-party advertising servers, advertising agencies, technology vendors, and research firms, including Google Ads, advertising services provided by Meta (sometimes referred to the Meta "tracking pixel"), and advertising services provided by TikTok (sometimes referred to as TikTok Pixels).
Advertising networks often gather data about consumers who view advertisements to make inferences about a consumer's interests and preferences, which enables their computers to deliver advertisements directly targeted to the consumer's specific interests. This practice is often referred to as "online behavioral advertising." For example, a third-party advertising network might collect the type of web browser you use, the type of computer operating system you use, the domain name of a website you visit, whether or not you visit specific pages of the Website and other websites, the location of your Internet service provider, the date and time of a visit to a website, and other interactions between you and a website.
Through Google Ads, Google may use your Internet searches, cookies, and similar identifiers (e.g., pixel tags and GCLID) to collect information about your visits to the Website and your interaction with our products and services to generate targeted advertisements to you on other websites that you visit across the Internet. We may also enable and implement Google Analytics Advertising Features on the Website. To change your preferences with respect to certain online ads and to obtain more information about third-party ad networks and online behavioral advertising, please visit the National Advertising Initiative Consumer opt-out page. Please remember that changing your settings with individual web browsers or ad networks will not necessarily carry over to other browsers or ad networks. As a result, depending on the opt-outs you request, you may still see our ads from time to time. Your device may also include a feature ("Limit Ad Tracking" on iOS or "Opt Out of Interest-Based Ads" on Android) that allows you to opt out of having certain information collected through apps used for behavioral advertising purposes.
Our Website Does not Respond to Do Not Track Signals. Our Website does not respond to Do Not Track (DNT) signals. Except through third-party services such as Google Analytics, Meta, and 6sense - which may collect data across websites to provide analytics and targeted advertising, we do not otherwise track you over time and across third party websites.
Google API Services User Data
Quickbase's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
When you choose to connect your Google account to the Quickbase service (for example, through Google Sign-In or by authorizing Quickbase to access your Google Workspace data), we may access the following types of Google user data, depending on the permissions you grant:
- Your Google account profile information (such as your name, email address, and profile picture);
- Google Workspace data associated with the scopes you authorize (such as Gmail, Google Sheets, Google Drive files, or Google Calendar data); and
- Authentication tokens necessary to maintain your authorized connection.
We use Google user data solely to provide and improve the Quickbase services you have requested, including to authenticate your identity, import or sync data you have authorized, and display or process that data within your Quickbase applications. We do not use Google user data for serving advertisements.
We store Google user data using the same security safeguards described in the "Accuracy & Security of Personal Information" section of this Privacy Notice. Google authentication tokens are stored securely and are accessible only to authorized systems.
We do not sell, share with, or transfer Google user data to third parties, except:
- To our service providers who process data on our behalf and are contractually bound to handle it in accordance with this Privacy Notice;
- As required by applicable law, regulation, or legal process; or
- As part of a merger, acquisition, or sale of assets, as described in the "Business Transfers" section above.
We do not use Google user data for training generalized artificial intelligence or machine learning models.
You may revoke Quickbase's access to your Google user data at any time by disconnecting your Google account through your Quickbase account settings, or by removing Quickbase's access through your Google Account permissions page. Upon revocation, we will cease accessing new data from your Google account. Previously imported data will be retained in accordance with our data retention practices described in the "Our Retention of Personal Information" section above, unless you request its deletion.
Accuracy & Security of Personal Information
Personal information you provide to us should be relevant to the purposes for which it is to be used, and, to the extent necessary for those purposes, should be accurate, complete, and up to date.
We take reasonable and appropriate measures designed to protect the confidentiality and security of your personal information by using industry-recognized security safeguards such as firewalls, coupled with carefully developed security procedures designed to protect your information from loss, misuse or unauthorized alteration.
Although Quickbase uses industry standard security measures, the Internet is not a 100% secure environment and Quickbase cannot, and does not, ensure or warrant the security of any information you transmit or store using the Quickbase service. There is no guarantee that your information may not be accessed, disclosed, altered or destroyed by breach of any of Quickbase physical, technical or managerial safeguards and we are not responsible for third party circumvention of your privacy settings or Quickbase's security measures. You are responsible for maintaining the secrecy of your unique password and account information and for controlling access to your Quickbase account.
Our Retention of Personal Information
We retain personal information for as long as necessary to provide the services and fulfill the transactions you have requested, or for other essential purposes such as complying with our legal obligations, resolving disputes, and enforcing our agreements. When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it; if that is not possible (e.g., because your personal information has been stored in back-up archives, or to maintain the integrity of the platform), we will securely store your personal information.

When you click on links on our Website, you may leave our Website. We are not responsible for the privacy practices of other websites and we encourage you to read the privacy statements at such websites.
Other Places Where We Collect Personal Information
Quickbase Billing
When you subscribe to a level of Quickbase service requiring a fee, we require that you provide your billing address and your credit card information, including credit card number and expiration date. Credit card information is used solely for the purpose of billing you for Quickbase service. Credit card transactions are processed by a third party. Please read the terms and conditions as well as the privacy policy of the payment card processor because they will apply to you.
Your Quickbase service is billed to an account. Quickbase recognizes the account in which your data lives as the owner of your data. The account is responsible for payment and can transfer ownership of your data. Account owners and administrators should keep in mind that if they grant another individual full administrative rights to their account, that person will have access to the account's billing information.
Quickbase Partners
When you apply to be a Quickbase partner, you are required to provide your company's address, contact information, and other demographic information in order for Quickbase to contact you regarding the Quickbase partner program.
Where We Store and Process Personal Information
Depending on the location from which you are accessing Quickbase, Quickbase is hosted in the United States. For users accessing Quickbase outside of the United States, information will be processed and stored in the United States and in a global location dependent on the location from which they are accessing the Quickbase service. Personal information collected in the European Economic Area or Switzerland, which is transferred to countries that have not been recognized by the European Commission and the Swiss Federal Data Protection Commissioner, respectively, as providing an adequate level of data protection, will be transferred based on mechanisms adopted by the European Commission. If you have a complaint, you may bring your complaint directly to Quickbase at [email protected] and Quickbase will respond to you within the timeframe required by applicable law. Where appropriate, we will use Standard Contractual Clauses approved by the European Commission.
Certification Information for the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. Data Privacy Framework, and the Swiss-U.S. Data Privacy Framework
The following information aligns the Quickbase Privacy Policy with the specific points required by the Data Privacy Framework (DPF) self-certification process, and ensures Quickbase's compliance with the DPF Principles.
Quickbase complies with the EU-U.S. Data Privacy Framework (EU-U.S. DPF), the UK Extension to the EU-US DPF, and the Swiss-U.S. Data Privacy Framework (Swiss-U.S. DPF) as set forth by the U.S. Department of Commerce. Quickbase has certified to the U.S. Department of Commerce that it adheres to the EU-U.S. Data Privacy Framework Principles (EU-U.S. DPF Principles) with regard to the processing of personal data received from the European Union and the UK (including Gibraltar) in reliance on the EU-U.S. DPF and the UK Extension to the EU-US DPF. Quickbase has certified to the U.S. Department of Commerce that it adheres to the Swiss-U.S. Data Privacy Framework Principles (Swiss-U.S. DPF Principles) with regard to the processing of personal data received from Switzerland in reliance on the Swiss-U.S. DPF. If there is any conflict between the terms in this privacy policy and the EU-U.S. DPF Principles and/or the Swiss-U.S. DPF Principles, the Principles shall govern. Quickbase's accountability for personal data that it receives under the Data Privacy Framework and subsequently transfers to a third party is described in the DPF Principles. In particular, Quickbase remains responsible and liable under the DPF Principles if third-party agents that it engages to process the personal data on its behalf do so in a manner inconsistent with the Principles, unless Quickbase proves that it is not responsible for the event giving rise to the damage.
In compliance with the DPF Principles, Quickbase commits to resolve complaints about your privacy and our collection or use of your personal information. European Union, UK, or Swiss individuals with inquiries or complaints regarding this privacy policy should first contact the dedicated Quickbase compliance team at [email protected]
Quickbase has further committed to refer unresolved privacy complaints under the Data Privacy Framework Principles to an independent dispute resolution mechanism, Data Privacy Framework Services, operated by BBB National Programs. If you do not receive timely acknowledgment of your complaint, or if your complaint is not satisfactorily addressed, please visit https://bbbprograms.org/dpf-complaints for more information and to file a complaint.
